Raumaster Paper Oy’s Documentation Specialist Laura Gutwasser ensures that documentation is up-to-date and on schedule. Effective communication and an open mind make sure that everything proceeds as planned.

Documentation play a significant role in all projects. Laura Gutwasser and Niina Korjonen work on documentation at Raumaster Paper Oy. The former has worked in documentation for five years.

In projects, the documentation works closely with the entire process. Gutwasser’s work mainly consists of collecting and sending customer documentation. The responsibility is great and there are many variables.

”In most cases, we handle all the material that will be sent to the customer. In addition to drawings, we send safety and maintenance instructions, reports, electrical and automation documentation, such as cable, I/O, and motor catalogues, and more, to the customer,” Gutwasser lists.

"We make sure that all documentation is appropriate, and we deliver the documents to the customer on schedule in the order and batches that were specified in the contract."

After the project has been installed and implemented, the documentalist will compose As-Built documentation. It is a packet that includes all documents and their possible updates.

Laura Gutwasser has worked in Raumaster Paper's documentation for five years. She has a bachelor’s degree in media and communication and years of documentation experience.

Analysing from the customer’s point of view

Gutwasser began her work in documentation at Raumaster Paper in 2018. She has a bachelor’s degree in media and communication and years of documentation experience. She has previously worked as a Document Controller and in communications in the energy industry, for example, and in the license services at a police station as well as in reception services in the paper industry.

”I worked at Amcor’s Kauttua factory where winders that we produce here were used, for example, which is why I was already familiar with the paper industry and how the machinery works when I came here. It has been a great advantage,” Gutwasser smiles.

Having no technical background is not a detriment – in fact, it is the opposite. If she does not understand something on a document, the customer might not understand it either. You could call it positive questioning.

”Documentation must have knowledge on the subject even though we do not need to know everything. We need to know from whom we can ask for clarification. I look at things from a slightly different perspective and raise any issues that are unclear. That way the production can react.”

In her daily work, her closest colleagues are project managers as well as designers. Gutwasser usually participates in the kick off meeting so that she knows how the project will be structured and what they will be facing.

”I go through the documentation delivery schedule and see if the documents have any special requirements. I write documentation packages down on my calendar so that I get a full picture of the future documentation deliveries and schedules. I also help the project manager to solve issues and take care of various tasks.”

The mother figure of the Paper-family

At Raumaster Paper, the entire organisation collaborates closely. Gutwasser and Korjonen’s seamless cooperation is one of the reasons behind their success.

”We have a low-threshold organisation, so things move quickly. We are in constant dialogue with Niina and the entire project group so that we can help each other as needed”, Gutwasser says.

All in all, the work in documentation requires organisational skills and quick reactions. Multiple things need to be managed at once.

”I am an extrovert by nature and open to new things. These characteristics have proven to be extremely helpful in my daily work. At the office, you could call me the mother figure.”
